Privacy Policy
Last updated: January 5, 2026. This policy describes how Bytewillow Logic LLC ("Bytewillow", "we", "us") handles information in the course of providing IT services.
1. What we collect
We collect three categories of information. First, contact form information you send us: your name, company, email address, service interest, and message. Second, billing information needed to invoice you: company name, billing contact, email, and payment confirmation details (card details themselves are entered with and held by our payment processor, not by us). Third, service data generated while we work: device and system logs, configuration records, backup job status, and helpdesk correspondence.
2. How we use it
We use contact information to respond to inquiries and prepare quotes. We use billing information to issue invoices, collect payment, and meet tax and accounting obligations. We use service data solely to deliver the services you engaged us for — monitoring, patching, helpdesk, backup verification, and project delivery — and to document that work for you.
We do not sell personal information, and we do not use client data for advertising.
3. Third-party processors
We rely on a small number of service providers, by category: a payment processor (Stripe) to accept ACH and card payments; an email and productivity provider to operate our mailboxes; and cloud hosting or backup platforms where your proposal specifies them. Each provider processes data under its own terms and only to deliver its service to us. We do not share information with third parties outside these categories except where the law requires it.
4. Retention
Contact form messages are kept for up to 24 months. Invoices and billing records are kept for the period required by tax and accounting rules, generally seven years. Service data and documentation are retained for the life of the engagement; at cancellation we hand over documentation, export the credentials and configurations we managed, and remove our access and agents within 30 days, after which residual operational logs are deleted within 90 days.
5. Client data and end-user data
For data held within your systems — employee accounts, files, and records — you, the client, act as the data controller and Bytewillow acts as a processor or service provider. We access that data only as instructed by you and only as needed to deliver the contracted service, under the confidentiality terms of your service agreement. We apply access minimization, and backup repositories are encrypted.
6. Security
We protect the information we hold with measures appropriate to an IT services business: multi-factor authentication on administrative accounts, least-privilege access, encrypted backup repositories, and a documented credential escrow. No method of storage or transmission is free of risk, and we do not claim otherwise; if an incident affects your data, we notify you without undue delay.
7. Your choices and rights
You may ask us to confirm what information we hold about you, correct it, or delete it where we are not required to keep it for legal or accounting reasons. You may also ask for an export of the documentation and credential records we maintain for your environment — most clients receive this routinely at the end of an engagement anyway. Send any request to [email protected]; we respond within 10 business days.
8. This website
This is a static website. It does not set tracking cookies, does not run analytics, and does not load third-party advertising. Fonts are loaded from Google Fonts, which receives standard request data (such as your IP address) when a page loads.
9. Changes
If we change this policy we update the date above and, for material changes affecting active clients, notify the billing contact by email before the change takes effect.
